Terms of Service

Last updated 23 October 2026

These terms apply when you create a Pharmivanta account or use the Pharmivanta platform. Pharmivanta is provided by Pharmivanta (“we”, “us”). Please read them with our privacy notice and how your data is handled.

1. Business use only

Pharmivanta is a business service for pharmacies and pharmacy groups. By creating an account you confirm that you are acting for a business and that you have authority to accept these terms for your organisation. The person who creates the organisation is its owner and is responsible for the people they invite and what they do in it.

2. Your account

  • Give accurate details and keep them up to date.
  • Keep sign-in details private. Each person should have their own account; accounts must not be shared.
  • Tell us straight away if you think someone has accessed your account without permission.

3. Free trial

Each new organisation can use Pharmivanta free for 14 days with every feature. No payment details are needed to start. One trial is available per organisation; we may decline or end a trial that is being misused. When the trial ends, the dashboards are paused until you choose a plan. Your data is not deleted.

4. Plans and payment

  • Plans are charged monthly in advance, in pounds sterling, plus VAT at the current rate. Current prices are shown on our pricing page (Essentials £199, Growth £299, Group £399 per month, excluding VAT).
  • Payments are taken by card through our payment provider, Stripe. If you subscribe during the free trial, the first payment is taken when the trial ends.
  • Subscriptions renew automatically each month until cancelled.
  • If a payment fails, Stripe will try again over the following days and we will let you know. If payment is still not received, access may be paused until the balance is paid.
  • Each plan has limits on branches, team members and features, as described on the pricing page. We will give you at least 30 days’ notice by email of any price increase, and it will apply from your next renewal after that notice.

5. Changing plan

You can upgrade or downgrade at any time in Plan and billing. Any charge or credit for the change is calculated by Stripe and shown before you confirm it. If you move to a plan with lower limits, features beyond that plan stop refreshing, but data already imported is kept.

6. Cancelling

You can cancel at any time in Plan and billing. Your subscription stays active until the end of the month you have already paid for, and you will not be charged again. After that, the dashboards are paused. To have your organisation and its data deleted, contact us and we will delete it within 30 days, except records we must keep by law, such as invoices.

7. Refunds

Fees are not refundable for part months or unused features, because you can cancel at any time before the next renewal. We will refund any amount charged in error, and we will consider a fair refund or credit if Pharmivanta is unavailable for a significant period because of a problem on our side. This does not affect any rights you have that cannot be excluded by law.

8. Your data

  • You own the data you import or connect. You give us permission to store and process it only to provide Pharmivanta to you, as described in our privacy notice.
  • Pharmivanta is built for commercial figures. You must not upload patient records, prescription data or other health information about individuals. Our imports are designed to remove personal details, but you are responsible for what you upload.
  • Only connect accounts and upload data that you are entitled to use. You can disconnect integrations at any time.

9. Acceptable use

You must not:

  • use Pharmivanta for anything unlawful, or in breach of the terms of a connected service;
  • try to access another organisation’s data, test or get around our security, or disrupt the service;
  • copy, scrape, reverse engineer or resell the platform, or use it to build a competing product;
  • upload malicious code or files you do not have the right to share.

We may suspend access to protect the service or other customers, and will tell you why unless the law prevents us.

10. Connected services

Integrations with services such as Google Search Console, Google Analytics, Google Ads and WooCommerce depend on those services. Their own terms apply to them. We are not responsible for their availability, changes they make or the accuracy of the data they provide.

11. Insights are not professional advice

Reports, comparisons and opportunities are worked out from the data you provide and connect, using the methods explained on how your data is handled. They are information to support your decisions, not financial, legal, clinical or regulatory advice. You remain responsible for decisions you make based on them. The demo organisation contains synthetic data only.

12. Availability and changes

We aim to keep Pharmivanta available at all times, but cannot guarantee it will be uninterrupted or error-free. We may need to carry out maintenance, and we may improve or change features. We will not materially reduce the core features of your paid plan during a paid month without telling you first.

13. Intellectual property

We own the Pharmivanta software, design and content. While your subscription is active, you may use it for your organisation’s internal business purposes. You keep ownership of your data.

14. Liability

  • Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.
  • We are not liable for loss of profit, revenue, business, goodwill or anticipated savings, or for indirect or consequential loss.
  • Otherwise, our total liability to you in any 12-month period is limited to the fees you paid us in the 12 months before the event giving rise to the claim.
  • Pharmivanta is not a backup service. Keep your own copies of source data, such as booking exports.

15. Ending these terms

You can stop using Pharmivanta at any time by cancelling your subscription. We may end or suspend your access if you seriously or repeatedly break these terms, or if your fees remain unpaid. If we end the service for any other reason, we will give you at least 30 days’ notice and refund any fees paid for the period after it ends.

16. Changes to these terms

We may update these terms. We will email account owners at least 30 days before a significant change takes effect. If you do not agree, you can cancel before it does.

17. Law

These terms are governed by the law of Scotland, and its courts have jurisdiction over any dispute. Questions about these terms? Contact us.
